Why In-Person?

Strategic planning is the one part of our work that can only be done effectively in person. Participants need high engagement and real communication — things that are genuinely difficult to replicate online.

Of course, we use online tools to gather input from broader stakeholder groups in advance. But the facilitated sessions themselves happen in the room, where your people can think together, challenge each other, and build something they actually believe in.

Our Process: Board and Staff, Together

The key to creating a great strategic plan — one your organization will actually use — is involving as many of your Board and staff as possible. We make the process engaging and empowering for everyone in the room.

Why involve staff?

You need two things from your staff: their expertise up front, and their buy-in afterward. Boards that skip this step produce plans that sit on shelves.

Your participants will have fun — and they will strengthen their bonds as a team in the process.

A Two-Date Process

  1. Day 1 — Board and staff work together in intentionally mixed small groups, then as one large group (up to 35 people), to identify the 3-year priorities and strategies. This session is built around 15–30 minutes of pre-work and culminates in a series of colourful votes that produce a focused list of 3–5 key goals.
  2. Day 2 — Within 60 days of Day 1, a smaller core group (plus the Board for the morning) finalizes priorities, strategies, and the document itself. For larger organizations, we often add one or more additional sessions.

Our Four Promises

  • An energizing, efficient process that strengthens your Board and staff — and the relationship between them.
  • A living document that can be updated in minutes as your organization evolves, showing real-time progress to your Board and funders.
  • 3 to 7 strategic priorities for your 3-year plan, each with: current state, future state with specific measurable goals, strategies to close the gap, and year-by-year tasks with named leads.
  • A graphically pleasing document with 5-colour coding to show progress over time, customized graphics, and an optional outward-facing summary version for your website and funders.

2026 Fees

Core Package (A1) — $8,500

A two-date process producing a completed Strategic Plan with customized graphics. Day 1 includes all staff, Board, and key volunteers. Day 2 is a smaller core group with Board for the morning. We recommend 30 to 60 days between dates. (Only $550 higher than our rates from eight years ago.)

Optional Add-Ons

  • A2 — External-Facing Summary ($1,000): A graphically pleasing one-page synopsis of your strategic plan, written for clients, patients, and funders. Popular for organization websites. Added in 2024.
  • A3 — Patient Engagement ($3,500): An additional in-person date where David speaks directly with up to 50 of your patients (two groups of 25) before Day 1. Includes our pre-session customized patient online survey to maximize reach. Added in 2022.
  • A4 – Mission, Vision & Values ($2,500): An extra half-day session for organizations that need to establish or refresh this foundational wording should you need that.

Additional Costs

  • HST/GST and travel costs are in addition to all fees listed above.
  • Extended travel: If your location requires more than 4 hours of travel time (return) from near Pickering, Ontario, or an overnight stay, a travel surcharge applies based on actual time. Travel delay surcharges are never added — your fee will not increase due to weather or delays.
  • Saturday sessions are available at an additional cost.
  • Organizations with over $5M in annual expenses or 50+ FTE employees, government/municipal organizations, and for-profit organizations: please contact us for customized rates.
  • For organizations with more than 35 Day 1 participants (Option B): fees depend on complexity and size. Contact David to arrange a virtual call.
  • (Rare) Back-to-Back Dates (surcharge +$750): For those in the far north of Ontario, where travel costs are prohibitive, you may decide to have the two in-person dates on consecutive dates.
